Terms and Conditions

These Terms and Conditions apply when you use this website, make an enquiry, request a quote, book travel services, or communicate with VentureSafari.

1. Who We Are

VENTURESA-FARI is a private company registered in South Africa. For the purpose of these Terms and Conditions, "VentureSafari", "we", "us", and "our" refer to VENTURESA-FARI.

We assist clients with safari travel enquiries, lodge bookings, transfers, tours, and related travel arrangements.

VentureSafari may act as a booking facilitator or intermediary between clients and third-party suppliers, including lodges, hotels, camps, transfer providers, tour operators, activity providers, and other travel service providers.

2. Use of This Website

You may use this website to view travel information, submit enquiries, request quotes, and contact us about lodge bookings, transfers, tours, and related services.

You agree not to misuse the website, submit false information, interfere with the website, attempt unauthorised access, copy website content without permission, or use the website for unlawful purposes.

3. Enquiries and Quotes

A website enquiry or quote request does not create a confirmed booking. Quotes are subject to availability, supplier confirmation, seasonal rates, fuel costs, park fees, taxes, exchange rates, and other travel-related costs.

Unless stated otherwise in writing, a quote is not guaranteed until the booking is confirmed by us in writing and the required deposit or full payment has been received.

4. Bookings and Confirmations

A booking is only confirmed once:

  • Availability has been confirmed by the relevant supplier or service provider.
  • You have accepted the quote or booking proposal.
  • The required deposit or full payment has been received.
  • We have issued written confirmation of the booking.

Verbal discussions, website enquiries, WhatsApp messages, and email discussions do not guarantee availability or secure a booking until confirmed in writing.

5. Third-Party Suppliers

Some services are provided by third-party suppliers, including lodges, hotels, camps, transfer companies, tour operators, activity providers, restaurants, park authorities, and payment providers.

VentureSafari may act as a booking facilitator or intermediary for these services. Third-party supplier terms, rules, availability, cancellation policies, indemnities, and operating conditions may also apply to your booking.

We are not responsible for losses, delays, cancellations, errors, changes, service failures, injuries, damage, theft, or additional costs caused by third-party suppliers, unless caused directly by our own proven negligence.

6. Prices and Inclusions

Prices may include different items depending on the specific quote, package, lodge, tour, or transfer. Your quote or booking confirmation will state what is included and excluded.

Unless expressly included in writing, prices may exclude flights, visas, passports, travel insurance, medical costs, vaccinations, meals, beverages, gratuities, optional activities, personal expenses, luggage costs, park fees, conservation levies, and supplier surcharges.

7. Deposits and Payments

A deposit may be required to secure a booking. The deposit amount and payment deadline will be provided in the quote or booking confirmation.

Final payment must be made by the date stated in the booking confirmation. If payment is late, incomplete, reversed, or unsuccessful, the booking may be cancelled and cancellation charges may apply.

Bank charges, card fees, foreign exchange costs, and payment provider fees are for the client's account unless stated otherwise in writing.

8. Cancellations by the Client

Cancellation requests must be submitted in writing. The cancellation date will be the date on which we receive the written cancellation request.

Cancellation fees may apply depending on supplier terms, notice period, season, booking type, non-refundable costs already incurred, and the ability to resell or reallocate the booking.

Some lodge bookings, peak season bookings, special offers, discounted rates, group bookings, transfers, tours, permits, and third-party services may be partly or fully non-refundable.

9. Refunds

Refunds, where applicable, will be processed only after the relevant supplier has approved and released any refundable amount to us.

Refunds may be reduced by supplier cancellation fees, bank charges, payment provider fees, administrative costs, foreign exchange differences, and non-refundable booking costs.

Refund processing times may vary depending on banks, suppliers, payment providers, and the original payment method.

10. Changes to Bookings

Any request to change travel dates, accommodation, guest numbers, transfer times, routes, pick-up points, drop-off points, or tour details must be submitted in writing.

Changes are subject to availability, supplier approval, pricing differences, cancellation fees, amendment fees, and any additional costs.

11. Cancellations or Changes by Suppliers

Suppliers may change, cancel, delay, or amend services due to weather, road conditions, safety concerns, availability, operational issues, park rules, government restrictions, strikes, emergencies, or other circumstances beyond our control.

Where possible, we will assist with alternatives, amendments, or supplier communication. Additional costs may apply.

12. Transfers

Transfer bookings are subject to agreed pick-up times, drop-off times, vehicle availability, route planning, luggage capacity, road conditions, traffic, weather, and safety requirements.

Clients must be ready at the agreed pick-up time and location. Delays, missed pick-ups, incorrect details, extra stops, waiting time, route changes, or no-shows may result in additional charges or cancellation of the transfer.

We are not responsible for missed flights, missed connections, delayed arrivals, airline changes, border delays, or late clients unless caused directly by our own proven negligence.

13. Tours, Safaris, and Wildlife Activities

Safari and tour experiences may be affected by weather, wildlife movement, road conditions, park rules, seasonal conditions, safety considerations, and supplier operations.

Wildlife sightings are never guaranteed. Photos, descriptions, and itineraries are provided for guidance and may vary from the actual experience.

Clients must follow all guide instructions, lodge rules, park rules, safety briefings, and wildlife viewing guidelines.

14. Client Responsibilities

Clients are responsible for:

  • Providing accurate names, contact details, travel dates, guest numbers, and booking information.
  • Checking booking confirmations carefully.
  • Arriving on time for transfers, tours, flights, and activities.
  • Ensuring passports, visas, permits, travel documents, and identification are valid.
  • Obtaining appropriate travel insurance.
  • Disclosing relevant medical, mobility, dietary, or special requirements before travel.
  • Complying with all supplier, lodge, park, transport, and safety rules.

15. Travel Insurance

We strongly recommend that all clients obtain comprehensive travel insurance before travel. Insurance should cover cancellation, curtailment, medical emergencies, injury, theft, loss, delays, missed connections, supplier failure, and personal liability.

VentureSafari is not responsible for losses that could have been covered by appropriate travel insurance.

16. Health, Safety, and Fitness to Travel

Clients are responsible for ensuring that they are medically fit to travel and participate in booked activities.

Some areas, lodges, parks, and activities may involve long drives, wildlife exposure, uneven terrain, heat, dust, insects, remote locations, and limited medical facilities.

Clients must inform us in advance of any medical condition, disability, pregnancy, allergy, dietary requirement, mobility limitation, or special assistance requirement that may affect the booking.

17. Children and Family Travel

Children may be subject to age restrictions, supplier rules, safety rules, accommodation policies, transfer seat requirements, and activity restrictions.

Parents or guardians are responsible for supervising children at all times and ensuring that required travel documents, consent documents, birth certificates, passports, and identification are available where required.

18. Luggage and Personal Belongings

Clients are responsible for their own luggage, valuables, travel documents, money, electronics, and personal belongings.

Luggage limits may apply to transfers, flights, safari vehicles, and lodge transport. Extra luggage must be disclosed before travel and may require additional arrangements or charges.

19. Force Majeure

We are not liable for failure or delay in providing services caused by events beyond our reasonable control, including but not limited to extreme weather, floods, fires, drought, pandemics, disease outbreaks, strikes, civil unrest, road closures, border closures, government restrictions, park closures, supplier failure, power outages, transport disruption, airline delays, or safety emergencies.

In such cases, we will try to assist with reasonable alternatives where possible, but additional costs may apply.

20. Limitation of Liability

To the fullest extent permitted by law, VentureSafari will not be liable for indirect loss, loss of enjoyment, loss of profit, loss of opportunity, additional travel costs, emotional distress, missed connections, supplier failures, third-party acts, weather disruption, theft, injury, illness, damage, or delays beyond our reasonable control.

Nothing in these Terms and Conditions excludes liability that may not lawfully be excluded under South African law.

21. Website Content and Accuracy

We aim to keep website information accurate and up to date. However, prices, availability, images, routes, lodges, activities, facilities, and descriptions may change without notice.

Website images are for illustration and may not reflect the exact room, vehicle, view, itinerary, activity, or supplier used in your booking.

22. Intellectual Property

All website content, including text, images, graphics, branding, layout, and design, belongs to VentureSafari or its licensors unless stated otherwise.

You may not copy, reproduce, modify, distribute, or use website content for commercial purposes without written permission.

23. External Links

This website may contain links to third-party websites, suppliers, booking platforms, maps, or travel resources. We are not responsible for the content, security, accuracy, or privacy practices of external websites.

24. Privacy

We process personal information in accordance with our Privacy Policy. By using this website or submitting an enquiry, you acknowledge that your personal information may be processed for enquiry, booking, communication, supplier, payment, and administrative purposes.

25. Complaints

If you experience a problem during your trip, you must report it as soon as reasonably possible so that the supplier or VentureSafari has an opportunity to assist.

Complaints submitted after travel must be sent in writing to travel@venturesa-fari.co.za within 7 days of the end of the booked service.

26. Governing Law

These Terms and Conditions are governed by the laws of the Republic of South Africa.

Any dispute will first be addressed through good-faith communication. If the dispute cannot be resolved, it may be referred to the appropriate court, tribunal, regulator, or dispute resolution body in South Africa.

We may update these Terms and Conditions from time to time. The latest version will be published on this website with the updated date shown at the top of the page.
